Accessing the system

  • Follow the link in your most recent OTTER email.
  • Select 'Outstanding Approvals' from the menu options at the top of the page.

A list of the timesheets awaiting your approval is shown.

Note: If the 'Outstanding Approvals' menu option is not shown when logged in then you should contact the administrator as your account has likely not been granted approval privileges.

Approving

  • timesheets.gifClick the green tick icon beneath the timesheet.
  • After approval, the timesheet can be viewed in the 'Historical Timesheets' section for the employee, and the 'Historical Approvals' section for the approver.

Rejecting

  • Click the red cross icon beneath the timesheet.
  • Enter a reason for your rejection.

An email is automatically sent to the submitting employee stating the rejection and reason.

This timesheet will return to the employee's list of 'Outstanding Timesheets'; it will retain the data that was previously submitted. The data should be rectified and resubmitted.

Rejecting a previously approved timesheet

Only the approver can reject a previously approved timesheet

  • Select 'Historical approvals' at the top of the screen
  • Click the red cross icon
  • Enter a reason for your rejection

An email is automatically sent to the submitting employee stating the rejection and reason.

This timesheet will return to the employee's list of 'Outstanding Timesheets'; it will retain the data that was previously submitted. The data should be rectified and resubmitted.
